Thank you for your Excel 2010 workaround for custom data labels in XY scatter charts. It basically works for me until I insert a new row in the worksheet associated with the chart. Doing so breaks the absolute references to data labels after the inserted row and Excel won't let me change the data labels to relative references.

It’s not uncommon to be asked to add additional analysis to your visualization that typically isn’t plotted on an Excel chart. For example, this chart shows sales for each quarter, but your client may want to also see the percent growth during the same quarters.

Most Excel analysts fulfill this need with actual text boxes. Although this solution works, there is a problem: As the underlying data changes, the text boxes don’t reflect the new data. In addition, the text box placement is static. So as the chart columns grow and shrink, the text boxes don’t move up or down with the columns.

Instead of using independent text boxes, a better solution is to make the extra layer of analysis part of the visualization itself. In this case, we can incorporate the extra growth percent analysis into the chart. Here’s how:

  1. Add a helper series using formulas that essentially adds a few points to the actual data you’re charting.

    The idea here is to have the helper series be slightly greater than the actual data so that the labels for the helper series end up above the series for the actual data.

  2. Create a new Column chart using both the actual data and the newly created helper series.

  3. Right-click the helper series, select Format Series, and then choose to place the series on a Secondary axis.

    Moving the helper series to the secondary axis will allow you to give it its own labels.

  4. Right-click the Secondary Axis labels and select Delete.

    You won’t want these fake numbers to show up.

  5. Right-click the helper series and choose the Select Data option.

  6. In the Select Data Source dialog box, click the Helper Series entry and then click the Edit button.

  7. Edit the Category Labels input to point to the cells which contain the category labels for your helper series. These are the labels that will actually show up on the chart. In this case, the category labels will be the growth percentages for each respective quarter.

  8. Right-click the helper series and choose Add Data Labels.

  9. Right-click the newly added data labels and select Format Data Labels.

  10. Choose to show only the Category Name as the data labels.

  11. Right-click the helper series and select Format Data Series.

  12. In the Fill options, click No Fill. This will ensure the helper series is invisible.

    There you have it. Your extra analysis is now incorporated into the chart. Because the growth percentages are part of the chart (not just text boxes), the growth percentage labels will keep up with changes in the chart. This ensures that the extra analysis will always stay with the data.

Group (two-level) axis labels with adjusting layout of source data in Excel

This first method will guide you to change the layout of source data before creating the column chart in Excel. And you can do as follows:

1. Move the fruit column before Date column with cutting the fruit column and then pasting before the date column.

2. Select the fruit column except the column heading. In our case, please select the Range A2:A17, and then click the Sort A to Z button on the Data tab.

3. In the throwing out Sort Warning dialog box, keep the Expand the selection option checked, and click the Sort button.

4. In the fruit column, select the first series of same cells, says A2:A6, and click Home > Merge & Center. And then click the OK button in the popping Microsoft Excel dialog box. See below screenshots:
And then the first series of adjacent cells filled by Apple are merged. See below screenshot:

5. Repeat Step 4 and merge other adjacent cells filled with same values.

6. Select the source data, and then click the Insert Column Chart (or Column)> Column on the Insert tab.
Now the new created column chart has a two-level X axis, and in the X axis date labels are grouped by fruits. See below screen shot:

    Thank you! In order to save space, is it possible to only label the first and last date in the series? I've tried changing the 'interval unit' setting under label, but it doesn't seem to have any effect on a multi-level chart. I also tried setting the middle date labels to spaces or blanks, but that completely confused excel.,

      There is another trick that can save space in the X axis in chart.
      Select the date cells in the source data, right click, and select Format Cells from context menu. And then customize the date format with the number formatting code m/d

    Hello,
    I am trying to make a graph but I am not able to display data as I need it.
    I have 5 columns of data. first 3 columns are identifiers (date, location, product), 4th and 5th columns are to compare the sales numbers in a graph. However when I select the columns I only get location as vertical text on horizontal axis and date and product data is showing as horizontal text and gets all scrambled.
    I tried changing the text direction but it did not work. How can I have date, location, product information next to each other for each date, displaying vertically under each comparison data?

      Which version of Excel are you using? And which chart type are you creating? In Excel 2013, select 5 columns, and then click Insert > Insert Column Chart > Clustered Column, the first 3 columns will be added as x axis automatically.

      I have this same problem. You can only rotate the upper level of labels. The 2nd level will always be Horizontal (or Vertical on the Y-axis). I can't figure a way to change it either.

    merging cells makes the table un-usable. Might as well use powerpoint instead of a table.
